BELL (Building Educated Leaders for Life) is a community-based, non-profit, educational organization founded in 1992 by a group of Black students at Harvard Law School. Its mission is to enhance the academic performance and life opportunities of Black and Latino elementary school children living in low-income, urban communities. BELL offers after-school and summer enrichment programs to nearly 10,000 children each year in Boston, New York City, and Baltimore. BELL's school-based programs are characterized by small-group tutoring and mentoring, curriculum-based instruction, rigorous evaluation of results, and strong training programs for staff. BELL is currently engaged in a national expansion that will raise service levels to 100,000 children within the next ten years. Position Summary:
POSITION SUMMARY:
Responsibility for the recruitment process in the region including sourcing, recruiting, interviewing, and evaluating candidates based upon set qualifications. Coordinating recruitment advertising and web-based job placements. Make hiring decisions, extend and close offers, and ensure completion of all employment paperwork, including background check forms. Work closely with Human Resources in completion of paperwork to ensure staff are hired into HRIS. Coordinate staff on-boarding with Training Department and Site Managers.
MAJOR DUTIES AND RESPONSIBILITIES
• Source, recruit, interview, and evaluate candidates.
• Review and respond to applicant’s inquiries on a daily basis.
• Coordinate recruitment advertising and web-based placements for open positions.
• Plan, design and coordinate large scale recruitment events (career days, job fairs, etc.)
• Evaluate candidates, check references as needed, make hiring decisions, extend and close offers in a timely matter.
• Ensure that all necessary employment paperwork is completed accurately and prior to staff start date.
• Guarantee that all employees successfully complete the criminal background, fingerprinting, TB testing and medical clearance process defined by the local school district. Keep copies of the clearances on file for examination by local compliance officers.
• Consistently maintain hiring data in organization’s candidate tracking database.
• Create and maintain a strong relationship with Site Managers to facilitate year-round communication about staffing needs.
• Support the Executive Director with site-based recruiting needs and special projects as requested.
• Build strong local sourcing network to ensure year-round flow of incoming applications.
• Perform other duties as assigned.

Position Summary:
The Summer Program Assistant Manager works with the Summer Program Manager to build a strong summer program assists in the management of educational quality and implementing the program model in order to create the best learning environment for the scholars. The Assistant Manager plays a central role in program administration and must serve as a leader in this capacity.
MAJOR DUTIES AND RESPONSIBILITIES
(Pre-Site)
- Participate in the summer program planning process prior to the start of the program
- Assist the recruiting department with marketing, interviews, and compiling all paperwork
- Assist the enrollment department with site enrollment plan development, enrollment, parent events, and assisting parents in filling in paperwork, follow-up phone calls
- Ensure that all curriculum and supplies are received and distributed prior to the program start
- Ensure that all licenses and contracts are completed prior to the start of the program
- Support scholar enrollment activities as needed including parent communications at the school, phone calls/outreach, parent events and helping parents with paperwork
- Assist with other planning deliverables as needed
(During Site)
- Manage teachers’ assistants; hold weekly staff meetings and ensure all program requirements are followed
- Implement pre- and post tests, all quizzes and support data collection for a 100% response rate
- Scan results into Edusoft and produce reports for program manager, principals, parents, teachers, and National
- Act as liaison to school management when Program Manager is unavailable.
- Prepare and distribute progress reports the 3rd and final weeks of the program
- Oversee the use of all materials and monitor all classrooms to ensure sufficient supplies/curriculum are maintained throughout the program
- Coordinate the food program
- Assist in implementing all field trips, guest speakers, and the community service project (attendance mandatory)
- Oversee petty cash and all administrative expenses once the program has started
- Support implementation of parent-teacher conferences as well as teacher/tutor appreciation
- Provide logistical support for the jingle competition and closing ceremony
- Oversee facilities and ensure they are clean, safe and prepared for the program
- Ensure that all scholar and staff paperwork is received, completed and in order
- Prepare bi-weekly timesheets and payroll information and ensure that all employees are correctly paid; handle any payroll issues
- Collect and scan attendance sheets on a daily basis. Call absent parent daily and record outcomes.
- Collect weekly attendance, organize and give to Site Manager for enrollment audit purposes.
- Notify enrollment of scholar status changes and update parent records.
- Print Edusoft Answer Sheets for pre & post tests and quizzes. Assist in scanning all Edusoft materials
- Help execute local and national attendance programs.(letters, awards)
- Answer the phone and make phone calls to scholar families
- Ensure that enrollment dept receives weekly paperwork every Monday am.
- Oversee attendance reward programs, local and national, and work with Assistant to implement.
- Develop and oversee health and safety for the program
- Assist in the clean up of the school at the end of the program Support Management team in ensuring orderly scholar conduct during meals, transition times, arrival of and dismissal of scholars
- Assist with parent events and closing ceremony preparations
- Support staff as needed on all projects and administrative tasks

- Manage implementation of the BELL Summer Program model and schedule
- Manage and evaluate teachers, review lesson plans, hold weekly staff meetings, and ensure all program elements are followed
- Oversee daily printing of attendance reports, attendance scanning and parent phone calls.
- Audit, organize and ensure that attendnace reports and timesheets are turned into the region weekly per agreed schedule.
- Oversee scheduled withdrawal of inactive and withdrawn scholars on agreed schedule and notification of Enrollment Dept of scholar status changes on a timely basis.
- Oversee proper teacher: tutor and teacher/tutor: scholar ratios and make adjustments as necessary
- Work with enrichment teachers to create streamlined programs that incorporate and build on academic curriculum
- Manage evaluation data collection on schedule and with 100% response rate
- Manage Edusoft administration from your site (i.e., printing answer sheets, transcribing answer sheets, scanning answer sheets, resolving answer sheets, printing reports and driving instruction based on report data)
- Review testing results and work with teachers to improve scores/develop strategies
